How do I produce a PDF copy?

How do I produce a PDF copy?

One of the questions we get asked a lot is how to produce a PDF copy of a tax return, or set of accounts from within Keytime software.  This is especially useful for sending copies to clients via email.

We've put some instructions below on how to produce PDF versions for Accounts Production, Tax Professional and Corporation Tax.

Accounts Production

  1. Open Accounts Production
  2. Open the relevant set of accounts
  3. Go to Options > Configure > Set PDF save location
  4. Navigate to and select the folder where you want your PDF files to be saved to (such as the Desktop, or My Documents)
  5. Click Save
  6. Click on the Print Menu option on the left hand side
  7. Select the pages you wish to appear in the PDF document
  8. Click the PDF button

Corporation Tax

The Print Menu (accessed using the Print button in the toolbar) now includes an option to send the selected pages to PDF.  The options for Print and Preview are also still available.

Select the pages that you wish to send to PDF and click the PDF button in the Print menu.

The PDF file will be stored in the location specified in Tools / Options / Config / Print Options.  The PDF save location can also be changed here.

The previous instructions for producing a PDF in Corporation Tax are still valid but in most cases the new PDF button is easier.

Previous Advice: To produce a PDF of a corporation tax return: 

  1. Open Corporation Tax
  2. Open the relevant tax return
  3. Go to Tools > Options > Configure
  4. Click on Print Options
  5. Change the setting Print/Preview report in to PDF File
  6. Click OK
  7. Use the print menu to select the relevant pages and click Print.

    Exclamation.pngNote: this will not produce a paper copy. It will instead produce the document in your Corporation Tax data folder.
  8. Browse to the data folder for Corporation Tax. Usually this will be in the user folder older but if you run the program over a network, it will probably be on a mapped network drive.  You can find instructions on how to find your data folder in our article: Finding your data
  9. A folder called PDF should be present. Open that folder and then the subfolder for the relevant tax year.
  10. Your documents should be in that folder.
  11. To return to printing paper documents, go to Tools > Options > Configure, then Print Options and set Print/Preview report in back to Print for paper copies, or Both to simultaneously produce paper and PDF copies.

Tax Professional 2010

  1. Open Tax Professional
  2. Open the relevant tax return
  3. Go to Tools > Options > Configure
  4. Click on Print Options
  5. Change the setting Print/Preview report in to PDF File
  6. Click OK
  7. Use the print menu to select the relevant pages and click Print.

Trusts (Trust Tax) 2010

Select the pages that you wish to send to PDF and click the PDF button in the Print menu.

The PDF file will be stored in the location specified in Tools / Options / Config / Print Options.  Unlike Tax 2010 and Corporation Tax, the PDF save location cannot also be changed here.  Please refer to Finding your data to find the location of PDFs that you have produced.

The previous instructions for producing a PDF in Trusts 2010 are still valid but in most cases the new PDF button is easier.

One common request we also get is to create a shortcut to the PDF folder for Tax and Corporation Tax.  

  • To do so, find the PDF folder within the data folder for Tax / CT.  
  • Right-click on the folder, and choose Send To // Desktop (Create Shortcut).  
  • This will then create a folder on your desktop that points to your PDFs.  
  • Repeat as necessary for the other product.

Currently, if you have Windows Vista operating system, the PDF folder is created in the Virtual Store, which can easily be accessed by clicking the Compatibility Files button in the C:\Program Files\Keytime\Tax 2009 folder. 

The 2010 version of Tax will have the ability to specify a PDF location.  It is also worth mentioning that our new version of Client Manager Plus picks up any PDFs generated by the modules and makes them available in the client records.
